How to Print a Volume Report for 03/31/08

1. Once in your Univeraoffice.com site, click on the My Office tab
2. Click on Reports along the left side of the screen
3. Click on Volume Report along the left side of the screen
4. A green bordered screen will appear that says Volume Report in the top green border
5. The box to the right of Level has a 5 in it. Delete the 5, leaving the box completely blank
6. The Period should show Mar 08
7. The dropdown box under Data Format, shows Web Page. Change this to Excel
8. Click the button at the bottom of the screen– CUSTOMIZE REPORT. This will take you to page 2.
9. You are now on a new page with green borders. Check all the boxes except:
· Current Rank
· Report Period Rank
· Previous Rank
· Status
10. Do not change any of the Sort by options
11. The box to the right of Limit the numbers of results to: says 1,000. Delete the 1,000, leaving the box completely blank
12. Click the button at the bottom of the screen that says SAVE AND RETURN TO RUN REPORT. This will take you back to the first page.
13. Click on the button at the bottom of the screen – SHOW REPORT
14. Once the Excel report begins to appear, you’ll be given the option to Open or Save the report. Click on Open.
15. You now have a report that you can begin to play with. I would suggest that you make absolutely no changes to this report since everything we do in the month of April for Winback is based on this report. Keep the current spreadsheet file as the original that will never be touched.
16. To save this report, go to the top of your computer screen and find the word File – it is usually in the upper left corner of your screen on the top blue bar. Click on File and a dropdown menu will appear. Click on Save As. A screen that says Save As should appear. In the top box, it should say My Documents. If it does not, click on the dropdown menu and find My Documents. Click on it. Now, go to the right of that box and put your mouse over a picture of a folder which should say Create New Folder. Click on this icon and it will ask you to name your new folder. You might want to name it Univera Volume Reports. Then click O.K. Now go down to the bottom of the Save As screen to the File Name box. The name that will currently show for your file is Volume_Report .xls
17. You’ll want to give your file a more specific name. Click your mouse right after the t in Report and type in the date of the report – 033108 (or whatever the date is). You can put a space between the t and the date, or they can all run together with no space. Once the name of the file says: Volume_Report 033108.xls click the Save button.
18. Once you’ve clicked the Save button, you’ll be taken to the Excel spreadsheet. You have saved your original, so you are safe to move forward.
19. You will want to make changes, like moving around the width of the columns, right justifying the columns with dates and phone numbers, etc. Before you begin doing this, give your soon-to-be-modified file a new name.
20. Go back to number 16 above and repeat the process. This time, after the date, add language like Fix1. The very end of the file name must always be .xls. Your new spreadsheet file name should look something like this: Volume_Report 033108 Fix1.xls. Now click the Save button.
21. You’ll be back in the spreadsheet file that you plan to modify. You can play around with it all you want. If you want to save any of these changes, go to the top of the screen and click on the little computer screen icon that says Save when you hover your mouse over it.
22. Before you close X out of this file, click the Save icon to be sure all your changes have been saved.
23. You now have two files – one is the original - Volume_Report 033108.xls, Please do not change this file. You also have your new file called Volume_Report 033108 Fix1.xls. You can go back and look at this file and change it, or you can make new files and leave it as is.
24. You now have a degree in Excelology!
